CMI-Secure


CM Information Specialists is proud to announce our electronic release of information system called CMI-Secure.

With CMI-Secure we are able to guarantee a secured delivery of medical records to the person who requested the records. You no longer have to rely on the U.S. Postal System to ensure delivery of medical records. Here’s how it works:

  • While at your facility a CMIS health document specialist will scan in the medical record that is requested and authorized.
  • The file is quality checked by the CMIS health document specialist at your facility.
  • The CMIS health document specialist will log into the CMI-Secure website while at your facility and direct the website to grab the requested scanned medical record.
  • The CMI-Secure website encrypts the file and stores it on a secured server.
  • The requestor receives a HIPAA compliant email notification once the file is on the server.
  • The requestor now has access to the requested medical record and may download it at any time over the next 30 days.

Sound like a quick and smooth process? It is. To date the quickest response time has been 23 seconds. That means when the CMIS health document specialist uploaded the file onto the server, 23 seconds later the requestor had the file downloaded and available for their purposes.

Why are we so proud of this? Because we know it is the best system available. Systems used by other ROI outsource companies actually create delays in the delivery of the medical records because their processes are cumbersome and require the scanned records to be sent to a central location before records are actually released to the requester. With CMI-Secure, our ROI Service Representatives actually upload the scanned records directly onto the server from the facility. Unlike some of our competitors, our health document specialists do not physically remove any PHI from the facility. All the work is accomplished within the timeframe they are at your facility. This means requesters have access to the requested information literally within seconds of the ROI Service Representative completing the scanning.

The advantages of using CMI-Secure do not end with the requestor. Records sent using CMI-Secure are stored on either the hard drive or network of the computer at the facility for 90 days. This means if a dispute about what was sent arises or there are questions about the authorization there is no need to pull the paper chart again. All that is needed is to pull up the file on the computer. This also means the facility is able to maintain the control. It means the files stored locally are maintained on your system, which the facility controls the access to.

The other major benefit facilities have found with CMI-Secure? Reduced phone calls asking where the records are. Companies like EMSI, American Family, Blue Cross and Blue Shield Minnesota and numerous medical facilities already receive records via CMI-Secure. There are literally hundreds of companies ranging from workers compensation companies to government agencies that love receiving records this way. Why, because they are able to get the records quicker. In some cases these companies are also paperless so it saves their staff time from scanning the records that come in the mail. Sending records electronically almost always guarantees workers compensation companies are receiving the records within the time frame required by law. It means insurance companies processing claims receive the supporting documentation quicker. It means quicker reimbursement for your facility.

Now for one of the most important aspects of CMI-Secure, the security features. Unlike our competition we decide how long the file will remain available to the requestor and who may have access to CMI-Secure. Only the person who requested the record may obtain that particular file. Files are password and login protected. Once the requestor downloads the file it is automatically removed from the server after 24 hours. Should a requestor fail to download a file it is automatically removed from the server after 30 days. CMIS uses the latest encryption for the files stored on the server. Not even a CMIS health document specialist may read a file once it has been encrypted and located on the server. You can rest assured that CMI-Secure is 100% HIPAA compliant.
